Workday Third Party Access
At UAFS, we know students are often supported by parents, family members, spouses and trusted friends who want to help them stay on track. Workday gives students a secure way to share selected academic and financial information with the people they choose.
In Workday, these supporters are called third-party users. A student may choose to give a third-party user access to information such as class schedules, grades, account balances, financial information, and payment options.
Before you begin
Before a parent, family member, guardian, spouse or friend can access student information in Workday:
- The student must add the person in Workday.
- The student must select “is Third Party User”.
- The student must choose the permissions that person should have.
- Workday must send the third-party user their account setup emails.
- Payment access may require an additional authorization in the payment system.
Access is not automatic, even for parents or bill payers. The student must grant access before UAFS can make selected information available.
How students give third-party access in Workday
Students can add a parent, family member, spouse, or trusted friend through the Friends and Family task in Workday.
- Log in to Workday.
- Go to the student profile.
- Select Contact.
- Select the Friends and Family tab.
- Add or edit the person who should receive access.
- Enter the person’s contact information, including their email address.
- Check the box labeled is "Third Party User."
- Choose the permissions that person should have.
- Submit the changes.
How third-party users access Workday
After a student adds you as a third-party user, Workday will send account setup emails to the email address the student entered.
What you will receive
- An email with your Workday username.
- An email with your temporary password.
- Additional information about using Workday.
First-time login steps
- Open the Workday login link included in your email or use the third-party login button on this page.
- Enter the username and temporary password provided by Workday.
- Create your own password when prompted.
- Save your username and password in a secure place.
- Use the Workday homepage to view the information your student has made available.
Important: Your Workday password can be changed, but your username cannot. If you forget your username, your student can view it in their Workday account by going to their student profile and selecting Contact.
Viewing Bills and Making Payments
Viewing financial information and making a payment are not always the same access.
- Make a payment
- Invite the person as an authorized user in the payment system.
If you support more than one UAFS student
If another UAFS student adds you as a third-party user, you will continue using the same Workday username and password.
If you do not see the information you expected
- The student has not selected the correct permissions.
- The student entered an incorrect email address.
- The student did not check is Third Party User.
- Payment access has not been completed in the payment system.
- The account setup emails were sent to a spam or junk folder.

Federal privacy law protects college student records. When a student attends college, the rights to view and control education records belong to the student.
UAFS employees cannot discuss a student’s grades, schedule, academic progress, bill, financial aid, or other protected records with a parent, family member, guardian, spouse, or friend unless the student has given access or another FERPA-permitted exception applies.
