Registered Student Organizations are encouraged to promote their activities, events, and initiatives to the campus community. Marketing efforts should reflect the values of UAFS while complying with university policies and branding standards.


Marketing Your Organization

RSOs have access to a variety of promotional opportunities across campus. Organizations are encouraged to use approved marketing methods to increase awareness, recruit members, and promote events.

Available Marketing Channels

  • NUMALink event listings and organization pages.
  • Campus digital signage and television displays.
  • Flyers and posters in approved campus locations.
  • Campus announcements and newsletters.
  • Social media platforms.
  • Tabling and recruitment events.

Flyers and Printed Materials

All flyers, posters, and printed promotional materials must follow university posting guidelines.

  • Materials must receive approval from the Office of Campus and Community Engagement (CACE) before posting.
  • Flyers may only be posted in approved locations.
  • Organizations are responsible for removing outdated materials.
  • Posting materials in unauthorized locations may result in removal and loss of posting privileges.

Digital Signage and Campus Advertising

Registered Student Organizations may promote approved events through university digital communication channels.

  • Submit requests according to university deadlines.
  • Provide accurate event details and contact information.
  • Ensure all promotional content complies with university standards.

Social Media Guidelines

Social media can be an effective tool for communication, recruitment, and engagement. Organizations are expected to use social media responsibly and professionally.

Account Management

  • Organizations are responsible for maintaining their social media accounts.
  • Account credentials should be shared with organization leadership and advisors to ensure continuity during officer transitions.
  • Organizations should maintain accurate and up-to-date information on all platforms.

Required Disclaimer

Because Registered Student Organizations are student-led entities and not official university departments, social media accounts should clearly indicate that they are affiliated with, but not operated by, UAFS.

Example:

"Registered Student Organization at the University of Arkansas – Fort Smith. Views expressed are those of the organization and do not necessarily represent the views of UAFS."

Appropriate Use

  • Represent the organization professionally and respectfully.
  • Ensure content aligns with university policies and community standards.
  • Respect copyright, trademark, and intellectual property laws.
  • Avoid posting content that is discriminatory, harassing, threatening, or otherwise inappropriate.

Use of University Names and Logos

Registered Student Organizations may identify themselves as organizations at UAFS but may not represent themselves as official university departments or offices.

  • Organizations may not use official UAFS logos, seals, or trademarks without authorization.
  • Custom organization logos are encouraged.
  • Sports clubs using athletic branding must follow university requirements and identify themselves as club sports.
  • Questions regarding branding should be directed to University Marketing.

Media Relations

Organizations seeking media coverage or external publicity should coordinate with Strategic Communications to ensure accurate representation of the university and organization.

  • Press releases should be reviewed before distribution.
  • Media inquiries may be referred to Strategic Communications.
  • Organizations should not speak on behalf of the university.

Marketing Best Practices

  • Promote events early and consistently.
  • Use multiple communication channels.
  • Include clear event details, dates, times, and locations.
  • Maintain consistent branding across platforms.
  • Engage with students in a positive and professional manner.
  • Keep organization pages and social media accounts active and current.
