How to Start a RSO
Students interested in starting a new Registered Student Organization (RSO) at UAFS must complete the registration process through NUMALink and meet all university requirements for recognition.
Before You Begin
Students wishing to start a new RSO should:
- Find a full-time UAFS faculty or staff member to serve as the organization’s advisor.
- Register the new organization on NUMALink.
- Submit an RSO constitution with the required university statements.
- Provide a roster with at least 10 members.
- Identify student officers, including a president, vice president, and treasurer.
New RSO Review Process
Once the New RSO Registration Form is submitted, the review process will begin. The Coordinator for Registered Student Organizations will review the application.
A new RSO application may be denied if the proposed organization:
- Duplicates the purpose or mission of an existing RSO.
- Represents a purpose not consistent with the mission of UAFS and the community it serves.
- Discriminates in membership with regard to race, color, sex, age, national origin, religion, learning or physical disability, marital status, veteran’s status, or sexual orientation.
- Does not allow membership and participation without regard to gender, unless exempt under Title IX.
Becoming a New RSO
Once an RSO is approved, the Office of Campus and Community Engagement will:
- Contact the advisor to complete an Advisor Agreement Form.
- Generate an agency account for the organization to keep its money.
- Inform the advisor of the organization’s copy code.
- Add the RSO to NUMALink.
- Add the RSO contact information to the RSO Leaders and Advisor Contact Sheet for weekly emails and updates.
- Contact the RSO leaders and advisor to complete a mandatory New RSO Orientation with the Coordinator for Registered Student Organizations.
Re-Registering Your RSO
When a group is granted registered status, the group maintains that status from the date of approval through Sept. 15 of the following year.
Organizations that wish to maintain registered status must be re-registered annually by a student officer through NUMALink between May and Sept. 15.
All forms must be submitted online through NUMALink. CACE will notify the submitting student leader or advisor through NUMALink email whether registered status has been maintained.
Important: Student organizations that fail to update CACE with a list of newly elected officers and a current membership roster by Sept. 15 will have their registered status suspended and their funds frozen until these reports are received.
Withdrawal or Suspension of Registered Status
Groups may lose their registered status for the following reasons:
- Failure to submit the mandatory RSO re-registration in full by the deadline.
- Violation of campus policy or university core values and mission.
- No full-time faculty or staff advisor.
- Submitting false information to CACE.
- Failure to follow university policies or local, state, or national laws.
- Failure to be recognized by the appropriate Greek Council, for social fraternities and sororities.
RSOs found responsible for violating the Student Code of Conduct may have their RSO status revoked. An organization whose registered status has been revoked loses all privileges of an RSO.
Appeals Process
If registered status is denied or revoked by CACE, the organization may appeal the decision in writing to the dean of students within 10 business days following the denial notice.
Students whose application to become an RSO is denied may submit a letter of appeal to the dean of students within 10 university working days from the denial. The dean of students will review the appeal and either uphold the denial or approve the RSO for registration. The decision of the dean of students is final.
